About the Role

The Traffic Manager is responsible for overseeing the day-to-day operational flow of the Marketing & Communications department, ensuring work is properly planned, prioritised, assigned, and delivered on time.
The role serves as the operational hub connecting Brand Managers, Shared Services teams, external agencies, and business stakeholders. It provides visibility across all ongoing work, manages competing priorities, and ensures marketing resources are allocated efficiently to maximise output and maintain quality.
As Workflow Lead, this role owns:
•    Department-wide workflow management
•    Resource and capacity planning
•    Project prioritisation and workload balancing
•    Deadline management
•    Cross-functional coordination
•    Marketing governance and process compliance
•    Reporting on operational performance and delivery

The role directly manages the Marketing Specialist within the portfolio, with the expectation that the team may evolve as the portfolio and operating model mature.
 

Key Responsibilities

1. Workflow & Traffic Management
•    Own the end-to-end marketing workflow across all brands and departments.
•    Receive, review, and validate incoming marketing requests to ensure briefs are complete before work begins.
•    Prioritise projects based on business objectives and agreed timelines.
•    Allocate work across internal teams and external agencies according to capacity, expertise, and deadlines.
•    Maintain complete visibility of all active projects and their current status.

2. Resource Planning & Capacity Management
•    Develop and maintain department-wide resource plans covering designers, copywriters, videographers, digital specialists, communications, and external agencies.
•    Monitor workloads to ensure balanced resource allocation and prevent bottlenecks.
•    Identify upcoming resource constraints and recommend solutions before delivery risks arise.
•    Coordinate freelancer or agency support when additional production capacity is required.
•    Ensure optimal utilization of internal resources while maintaining quality standards.

3. Project Coordination
•    Facilitate project kick-offs and ensure all stakeholders understand timelines, responsibilities, and deliverables.
•    Coordinate dependencies across multiple teams to keep projects progressing efficiently.
•    Monitor project milestones and proactively escalate risks, delays, or conflicting priorities.
•    Ensure all deliverables move through the required review and approval process.
•    Maintain accurate project schedules within the department's project management platform.

4. Marketing Operations & Governance
•    Establish and enforce marketing workflows, operating procedures, and service level expectations.
•    Ensure projects follow approved briefing, review, approval, and production processes.
•    Continuously improve operational efficiency by identifying workflow improvements and eliminating unnecessary administrative effort.
•    Support the implementation and adoption of marketing technology and project management tools.
•    Maintain documentation of processes, templates, and operational standards.

5. Stakeholder Management
•    Facilitate communication between internal teams and external agencies to ensure alignment.
•    Provide regular updates on project status, timelines, and resource availability.
•    Manage expectations regarding delivery schedules and competing priorities.
•    Support Brand Managers in planning major campaigns, launches, and seasonal initiatives.

6. Performance Reporting
•    Develop and maintain departmental workload and resource dashboards.
•    Track project delivery performance, including turnaround times, on-time delivery, workload distribution, and resource utilisation.
•    Identify recurring operational issues and recommend process improvements.
•    Produce regular operational reports for departmental leadership.
•    Support continuous improvement initiatives through data-driven recommendations.
 

Qualifications

•    Bachelor's degree in Marketing, Business Administration, Project Management, Communications, or a related field.
•    5 to 8 years of experience in marketing operations, traffic management or project management.
•    Experience managing workflows across creative, digital, communications, and production teams.
•    Strong understanding of integrated marketing campaign delivery.
•    Experience using project management platforms such as Asana, Monday.com, Wrike, Workfront, Jira, or similar systems.
•    Experience coordinating multiple stakeholders and managing competing priorities.
